This policy explains what QuickEvent does with personal data as the operator of the platform. When you register for an event, the organisation running that event decides what is collected and why; this policy covers the platform layer beneath it.

What the platform stores

Your account profile (name, email address, and the contact details you choose to save), the events you have registered for, and the technical records needed to keep the service secure — sign-in times, IP addresses and audit entries for administrative actions.

Registration form answers belong to the event you submitted them to and are visible to that organisation's administrators, not to other organisations.

Profile auto-fill

To save re-typing, a narrow set of profile fields can pre-fill a registration form. Sensitive fields are deliberately excluded from this set and cannot be requested by an organiser.

Profile and marketing insights

When you create an organisation we ask a short set of optional questions about you and the events you run: your role or profession, the industry you work in, the size of your organisation, the types of event you plan and how many you run in a year, and how you first heard about QuickEvent. Some of these questions let you type your own answer instead of picking one from the list, and you can add a job title and a company name. Every question can be left blank, and the whole step can be skipped — nothing on the platform is withheld from you if you do.

We use these answers for two separate purposes. The first is to set the product up for you: which modules are switched on by default and which parts of the organiser panel you are shown first. The second is marketing: understanding which kinds of organisation get value from QuickEvent, seeing which channels bring people to us so we know where to spend, and — only if you have asked for it — sending you product news and event tips by email.

Setting the product up for you, and analysing the answers to understand our audience and our marketing channels, rest on our legitimate interest in operating and improving the service. Marketing email is different: it is sent only with your consent. The opt-in box is never pre-ticked, no answer is treated as a no, and we record when consent was given and on which screen so that it can be evidenced. We do not use these answers to make automated decisions that have legal or similarly significant effects on you.

You can turn marketing email on or off at any time from your account settings, and every marketing email carries an unsubscribe link. Withdrawing consent stops any further marketing email; it does not affect email already sent. If you would rather we did not use your answers to tailor the product or for audience analysis, or if you want the answers themselves corrected or removed while keeping your account, contact us and we will action it.

These answers are not sold. They are not visible to the organisations you register with, they are not passed to other organisations on the platform, and they are not uploaded to advertising networks or data brokers. They are held on our infrastructure and handled by the service providers that host the platform and deliver our email, acting under contract and only on our instructions.

Separation between organisations

Each organisation sees only its own events and the registrations submitted to them. Platform administrators have access for support and security purposes, and such access is recorded.

Your rights

You can view and correct your profile from your account, request a copy of your data, or ask for your account to be deleted. Where an organiser holds registration data about you, requests concerning that data are handled together with the organiser.

Retention

Account data is kept while your account is active. Event registration data is retained according to the organiser's stated period for that event.

The profile and marketing answers described above are kept for as long as your account exists and are deleted together with it. If you withdraw consent for marketing email, the consent record is cleared at once; the fact that a change was made stays in our security audit log for that log's own retention period.

Screenshots attached to feedback reports are kept only as long as they are useful for fixing what was reported and are erased automatically after that period; the written report is kept, without the image.
